New Account Executive Onboarding Guide

SWVA Connections Co. · Hometown Holiday Extravaganza Sales Platform · October 23, 2026

1. Getting Access

An Admin must create your CRM account first. They will:

• Go to www.swvaconnectionsco.org/crm and log in with their admin credentials

• Open User Management → Create New User

• Set your role to Account Executive, enter your name, email, and username

• Issue you a temporary password and share it with you securely

You will receive:

• Your CRM username (not your email — this is a separate login from the main site)

• Your temporary password

2. Logging In

1. Go to www.swvaconnectionsco.org/crm

2. Enter your username and temporary password

3. Check "Remember me for 30 days" if you're on a trusted device

4. Click Sign In

5. On first login, you'll be prompted to change your password — choose a strong one you'll remember

Note: The CRM uses its own secure login — your main SWVA Connections Co. website account will not work here. This is intentional for security.

3. Navigating the CRM

Once logged in, you'll see a left navigation rail with these sections available to Account Executives:

Command Center — Your dashboard: pipeline summary, tasks due, recent activity, key metrics at a glance

My Accounts — Accounts assigned to you: search, filter, and open any account's full 360° view

All Accounts — Every account in the system (read access): useful for research and avoiding duplicates

Pipeline — Your sales opportunities organized by stage: drag deals through the funnel as they progress

Tasks — Your to-do list: follow-ups, calls, meetings with due dates and priorities

Invoices — Track invoice status for your accounts: sent, viewed, partially paid, paid

Commissions — Your earned and projected commissions: see what's eligible for payment

Team Performance, User Management, and Database Health are admin-only and won't appear in your navigation.

4. Daily Workflow — How to Utilize the CRM

Start each day in the Command Center:

• Review your tasks due today and overdue items

• Check your pipeline summary for deals needing attention

• Review recent activity to see what's happened since you last logged in

Managing Accounts:

• Click My Accounts to see businesses assigned to you

• Use the search bar at the top to instantly find any account, contact, opportunity, or invoice

• Click any account to open the Account 360° drawer — a full profile showing contacts, opportunities, activities, tasks, invoices, and history in one view

Adding New Accounts:

• Click "+ New Account" in the Accounts panel

• The account is automatically assigned to you when you create it

• The system checks for duplicates before saving

Working Opportunities:

• Open an account → Opportunities tab → Add Opportunity

• Select a partnership level (the investment amount auto-fills from the product catalog)

• Move deals through stages: Prospecting → Outreach → Discovery → Qualified → Proposal Sent → Negotiation → Closed Won

Logging Activity:

• Inside any account, use Log Activity to record calls, emails, meetings, and notes

• Every interaction builds the account's history and keeps your manager informed

Tracking Tasks:

• Use Tasks to manage your follow-ups with due dates and priorities

• Mark tasks complete as you work through them

5. Quick Tips

• Global search (top bar) searches everything — type a business name, contact, or opportunity

• Quick Actions button lets you jump straight to common tasks

• Refresh button pulls the latest data after making changes

• Your session stays active for 30 days if you check "Remember me"

• Log out from the bottom of the navigation rail when finished on shared devices
